A Growing Vermont District Modernizes Its Identity Infrastructure

Essex Westford School District serves about 4,000 students in Chittenden County, Vermont, just outside Burlington. The suburban district is a 1:1 Chromebook environment where students rely on Google-based tools daily. Roughly three years ago, the district began rolling out ClassLink in phases, starting with LaunchPad, followed by RosterServer, and then OneSync, with AppTrack added more recently.

Manual Processes Were Eating Up the School Year

Before ClassLink, Essex Westford's IT and digital learning staff spent significant chunks of the year on manual account and access management. Digital Learning Leader Colleen Williams described the rostering process before RosterServer as constant hands-on labor: "I had to roster everything, like Typing Club, [the] PARA [community app]…everything." Account provisioning carried the same burden, especially the yearly ritual of updating student credentials by hand when students moved between schools. Even everyday classroom access was a hurdle before LaunchPad, since instructors had to distribute logins for every tool manually. 

Software acquisition had its own version of this problem. Before AppTrack, Director of Technology and Innovation Peter Drescher described a process that struggled to get any real traction: "Our process was pretty clunky. We had a webpage that people had to go to. We were trying to establish a committee; that didn't work well." Without a clearer structure, the process saw little buy-in district-wide.

Automation Gave Time Back to the People Who Needed It Most

With LaunchPad, Essex Westford gave students and staff a single, branded entry point into every tool they use. Mark explained: "When users log into their Chromebook, the first thing they see is the ClassLink LaunchPad sign-in page, which is customized to our district." That single login replaced a patchwork of bookmarks and manual sign-ins, saving time since everything students and teachers need is simply already there.

Roster Server eliminated the manual rostering work Colleen used to do app by app. "Now, Mark just sends me something from OneSync. I get all the kids' passwords. It's like night and day [and] makes my start of the school year so much easier." Rule-based assignment also gave the district flexibility beyond the core SIS sync; when a teacher requested a program like Lexia, Colleen could add a rule and have students provisioned into it by the next day.

OneSync had the broadest impact on account management. Mark described it as the engine behind account automation across Active Directory and Google. "If anything happens on the source end…like PowerSchool SIS or our HR system, those changes are reflected the next day." It also let the district shift from graduation-year-based access policies to grade-level-based ones, automating a task the team used to redo every fall. The time savings were clear each August. 

Most recently, the district has turned to AppTrack to bring structure to software acquisition. Peter noted the district is "starting to use it for our vetting... we're excited about it and moving pretty quickly to get it underway." Mark pointed to simplicity as the biggest change, building directly on a tool staff already use daily: a prominent LaunchPad button lets staff request new software. "All the people who would be part of the approval process get notified... you can see all of that in the AppTrack software." Colleen added that the district can tailor the process further, building in its own custom vetting questions.

ClassLink just makes everything better. The time saving it has for both me on the backend and the teachers in the classroom is worth it every day.
